- Dispatch: We have begun travel, coordination, printing, or on-site preparations for your service
- No-show: You/your contact are unavailable within 10 minutes of scheduled arrival time, or required access/documentation isn't provided
- Business hours: MondayβFriday 8 AMβ6 PM; After-hours services incur additional fees

Standard Cancellation Policy
Cancel at least 90 minutes before your scheduled start time to reschedule once at no charge.
- 90+ minutes notice: Free one-time reschedule (refunds evaluated case-by-case)
- Inside 90 minutes or after dispatch: Payment is non-refundable
- No-show: Full payment retained; new booking required for future service
Non-Refundable Once Incurred:
- Document printing costs (multilingual, specialized forms)
- Witness fees (if witnesses have been coordinated)
- Travel fees for remote locations (Boulder City, Jean, Primm)
- Rush fees or after-hours service premiums
- Payment processing fees (3.5% for credit cards)
- Apostille or document courier fees

Hospital/Senior Living Facility Notarizations:
Cancellations within 2 hours of scheduled time require full payment due to facility coordination requirements and potential medication/capacity timing constraints. Rescheduling within 24 hours is permitted at no additional charge if the patient remains available.
Loan Signings (Real Estate Closings):
Cancellations within 24 hours require $75 cancellation fee due to extensive document review, printing costs (often 100-200 pages), and title company coordination. Cancellations with 24-48 hours notice incur $50 fee. Cancellations 48+ hours in advance: no fee.
I-9 Employment Verifications:
Cancellations within 90 minutes follow standard policy. However, if employer has coordinated multiple employees for batch processing, 24-hour notice is required to avoid $50 coordination fee.
After-Hours/Emergency Notarizations:
Evening (6 PMβ10 PM), weekend, or holiday appointments require minimum 24-hour cancellation notice to avoid full after-hours premium charge due to schedule disruption and premium staffing costs.

If we have already prepared, printed, or obtained specialized documents (e.g., multilingual affidavits, Nevada DMV forms, notarized translations, apostille-ready certificates), those costs are non-refundable regardless of cancellation timing.
Document preparation fees range from $15β$75 depending on complexity and are clearly itemized in your booking confirmation.

Standard Cancellation Policy
Cancel at least 2 business hours before your scheduled inspection time to reschedule once at no charge.
- 2+ business hours notice: Free one-time reschedule (refunds evaluated case-by-case)
- Inside 2 hours or after dispatch: Payment is non-refundable
- No-show/Access Denied: Full payment retained; $35 re-inspection fee for rescheduling
Non-Refundable Once Incurred:
- Initial dispatch costs (inspector en route to property)
- Site access coordination fees (gated communities, secure facilities)
- Specialized equipment preparation (tire tread gauges, moisture meters)
- Rush inspection premiums (same-day or <2-hour turnaround)
- Payment processing fees

Auto Collateral Inspections (Credit Unions/Lenders):
Cancellations with less than 4 hours notice require full payment due to borrower coordination requirements. If borrower is unavailable or vehicle is not accessible at scheduled time, a $50 trip charge applies plus full re-inspection fee for rescheduling.
Property Inspections (REO, Occupancy Verification, Vacant Property Monitoring):
Cancellations follow standard 2-hour policy. However, if property access requires lockbox codes, key pickup, or third-party coordination that has already occurred, a $35 coordination fee is non-refundable.
Business Verification Inspections (SV0001/SV0002 for SBA Lenders):
Cancellations within 24 hours of scheduled inspection require minimum 50% payment due to business-hours-only availability and potential business owner scheduling conflicts. Same-day cancellations: full payment retained.
Construction Draw Inspections:
Cancellations within 24 hours require full payment due to contractor coordination, milestone documentation preparation, and lender reporting timelines. Rescheduling within 48 hours permitted at no additional charge if contractor remains on-site.
Recurring Monitoring Services (Monthly Vacant Property Inspections):
Individual inspection cancellations within a recurring service agreement follow standard 2-hour policy. However, canceling the entire recurring agreement requires 30-day written notice to avoid charges for the following month's scheduled inspections.
π¨ Access Denial / No-Show Policy
If our inspector arrives at the scheduled property and cannot gain access (locked gates, incorrect address, occupant refuses entry, vehicle not available), the following applies:
- $50 trip charge (travel and time reimbursement)
- Full re-inspection fee if client requests rescheduling
- No refund of original payment (access coordination is client's responsibility)
Exception: If access denial is due to our error (wrong address documented, incorrect lockbox code provided by us), no trip charge applies and full refund issued.
π Courier Delivery Services
Standard Cancellation Policy
Cancel at least 1 hour before scheduled pickup time to receive a full refund or free reschedule.
- 1+ hour before pickup: Full refund or free reschedule
- Inside 1 hour or after dispatch: 50% cancellation fee (covers dispatch and routing costs)
- After pickup completed: No refund; delivery must be completed or 100% payment retained
- Recipient unavailable/No-show: $25 failed delivery fee + storage fees if applicable
Non-Refundable Once Incurred:
- Fuel costs for dispatch (charged at $0.70/mile IRS rate)
- Multi-stop coordination fees ($20 per additional stop)
- After-hours delivery premiums (+40% or $30 minimum)
- Waiting time fees ($1/minute after 10-minute grace period)
- Secure site access fees ($10 per location)
- Heavy item handling fees (51β75 lbs: $35 flat fee)
β οΈ Specific Courier Scenarios
Same-Day Delivery:
Cancellations after courier is en route to pickup location incur full delivery charge regardless of timing. Same-day delivery logistics require immediate resource allocation and cannot be easily reassigned.
Express Delivery (Under 2 Hours):
Cancellations within 30 minutes of requested pickup time are non-refundable due to express routing requirements and priority scheduling displacement of other deliveries.
Rush Delivery (1-Hour Service):
Rush deliveries are 100% non-refundable once confirmed due to immediate dispatch and premium resource allocation. Cancellation requests will be evaluated case-by-case but typically denied.
Medical Courier Services (HIPAA-Compliant):
Medical specimen or confidential medical document deliveries require minimum 2-hour cancellation notice due to specialized handling, chain-of-custody requirements, and temperature-controlled transport preparation. Cancellations with less notice: 75% of delivery fee retained.
Legal Document Courier (Court Filings):
Court filing deadlines create time-sensitive commitments. Cancellations within 4 hours of filing deadline are non-refundable. Cancellations with 4β24 hours notice before deadline: 50% fee applies.
Long-Haul Corridor Deliveries (Las Vegas β Los Angeles, Phoenix):
Interstate corridor deliveries require 24-hour cancellation notice to avoid full payment retention. These routes involve significant fuel costs (270β300 miles), dedicated driver time (6β8 hours round-trip), and displacement of local delivery capacity. Cancellations with 24β48 hours notice: 50% fee. Cancellations with 48+ hours notice: $100 administrative fee only.
π¨ Recipient Unavailable / Failed Delivery
If the delivery recipient is unavailable at the scheduled delivery address:
- $25 failed delivery fee (driver time and fuel reimbursement)
- Redelivery charged as new delivery (full delivery fee applies for rescheduled attempt)
- Storage fees: $10/day if item must be held for future delivery (max 5 business days; after 5 days, return-to-sender fees apply)
Exception: If delivery failure is due to our error (incorrect address recorded, driver missed delivery window), no failed delivery fee applies and redelivery provided at no charge.
π§οΈ Weather, Emergencies & Force Majeure
Service Disruptions Beyond Our Control
Lake Mead Mobile Notary is not liable for delays or cancellations caused by circumstances beyond our reasonable control, including but not limited to:
- Severe weather: Flash flooding, heavy snow, dust storms, extreme heat advisories
- Traffic incidents: Major accidents, road closures, freeway shutdowns
- Natural disasters: Earthquakes, wildfires, power outages
- Government action: Emergency orders, mandatory evacuations, restricted access zones
- Public health emergencies: Facility lockdowns, quarantine requirements
- Vehicle breakdown: Mechanical failures despite regular maintenance
In these situations:
- We will notify you immediately of service disruption
- Full refund or free rescheduling provided (no cancellation fees apply)
- We make every reasonable effort to offer alternative timing or service arrangements

If you experience a genuine emergency (medical emergency, family crisis, sudden hospitalization, death in family), please contact us immediately at (702) 748-7444.
We evaluate emergency cancellations case-by-case with compassion and flexibility. Documentation may be requested for refund consideration (e.g., hospital admission records, obituary, police report for vehicle accidents).
Emergency cancellations typically result in:
- Full refund of prepayment (minus non-refundable costs already incurred)
- Free rescheduling when circumstances allow
- Waiver of standard cancellation fees

Refund Method & Timing
All refunds are processed to the original payment method:
- Credit/Debit Cards: Refunds appear within 5β10 business days (bank processing varies)
- Zelle/Venmo/CashApp: Refunds issued within 24β48 hours
- Cash/Check: Refund check mailed within 5 business days
- Corporate Accounts: Invoice credit applied; adjusted invoice issued within 3 business days
Partial Refunds:
If non-refundable costs have been incurred (document printing, travel fees, witness coordination), you will receive an itemized breakdown showing:
- Original payment amount
- Non-refundable costs with justification
- Refund amount and expected processing date
β οΈ Payment Processing Fees
Credit card processing fees (3.5% of transaction) are non-refundable when refunds are issued. This fee is retained by payment processors, not Lake Mead Mobile Notary.
Example: $100 service paid by credit card β $3.50 processing fee deducted β $96.50 maximum refund even if full refund policy applies.
To avoid processing fees, pay via Zelle, Venmo, or cash (no processing fees charged for these methods).

Special Terms for High-Volume Clients
Clients with 25+ monthly appointments or active service agreements receive modified cancellation terms:
- Extended cancellation window: 4 business hours (vs. standard 2 hours for inspections)
- Flexible rescheduling: Up to 2 reschedules per month at no charge (vs. 1 for standard clients)
- Batch appointment modifications: Adjust multiple appointments simultaneously without individual cancellation fees
- Dedicated account manager: Direct contact for urgent cancellations and priority rescheduling
- Monthly invoicing: Cancellation fees applied to monthly statement rather than immediate charge
Volume clients include:
- Credit unions with recurring auto collateral inspections
- Mortgage servicers with ongoing REO/delinquency property monitoring
- SBA lenders with regular business verification services
- Title companies with high-volume loan signing appointments
- Law firms with daily courier or notary needs
Custom Service Level Agreements (SLA)
Corporate clients can negotiate custom SLA agreements that define:
- Guaranteed turnaround times (e.g., 24-hour field inspection delivery)
- Dedicated inspector/notary assignment for consistency
- Custom cancellation terms aligned with your workflow
- Volume-based pricing discounts
- Priority scheduling during high-demand periods

Nevada Law Governs This Policy
This cancellation and rescheduling policy is governed by Nevada state law. Any disputes arising from cancellations, refunds, or service delivery shall be resolved through:
- Good-faith negotiation: We prioritize resolving disputes directly with clients through open communication
- Mediation: If negotiation fails, disputes may be submitted to mediation in Clark County, Nevada
- Binding arbitration: Unresolved disputes shall be settled through binding arbitration in Clark County, Nevada, rather than court litigation
By booking services with Lake Mead Mobile Notary, you agree to these dispute resolution terms.
β οΈ Limitation of Liability
Lake Mead Mobile Notary's liability for any cancellation disputes is limited to:
- Maximum liability: Refund of prepaid service fees (no consequential damages)
- No liability for indirect losses: We are not responsible for missed deadlines, lost opportunities, or business losses resulting from service cancellations (yours or ours)
- Client responsibility: Clients are responsible for maintaining backup plans for time-sensitive services (e.g., court filing deadlines, real estate closing dates)
For critical time-sensitive services, we strongly recommend booking with 48+ hours advance notice and confirming service 24 hours prior to scheduled time.
